Dear [reviewerFirstName] [reviewerLastName]: Thank you all for taking the necessary action to proof your area's papers and reviewers. Now we need to ensure our reviewers are aware that the review process starts to, with paper bidding. The bidding period is 9-12 Feb (inclusive), starting TODAY. We have now assigned papers and reviewers to areas, and loaded everything in START We are in the process of rejecting papers with formatting violations, moving papers around and finalising reviewers (thanks again for your help to source for additional reviewers in certain areas). Bidding is ready to be initiated. At this point, after we initiate bidding, we pass the important duty of communicating with reviewers to you. You will be CC:ed on the bidding email to your reviewers, as shown below, which will be sent via START to your reviewers later today. It will appear as originating from the meta area chair in your area, such that replies will be directed to your area's meta AC. The bidding email is sent to all members of the area, including you, thus you'll also get the email as a recipient. Bidding will last until Sunday 12 Feb (included). Each of you can monitor reviewer bids from the Track Management Console. We strongly suggest that each area also send a reminder email to reviewers to get their bids in and have a working TPMS profile by 11 Feb. Let us know your queries and we'll try to keep in constant contact with you as we go through this critical period for ACL 2017! We'd also ask that when communicating on tasks assigned to your areas, that we hear a definitive answer from the meta AC(s) or another designated person. This saves us the overhead of keeping track of the state of your area's internal conversations. What happens next? We'll be discussing this with you soon: - We will be running the TPMS system to generate scores for all papers and all reviewers in your areas on the 12th. - Your area will need to assign reviewers to papers on the 12-13th so that reviewers can start with their papers as soon as possible. START has reduced load requests already mounted (you should be able to see these in the "Adjust Bids/Quota" link in the Assign Reviewer Duties) - Your area will then send the email to reviewers to start the review process as soon as your assignments are done and COIs are correctly captured (COIs have been recently re-run to detect additional COIs). It contains important information regarding your involvement in the ACL 2017 program committee. [Summary: You have been assigned to the <AREA> area. Please put in your bids for both long and short papers. Make sure that your TPMS profile is active, has the same email as in START, and has been populated with some of your previously published papers. Bidding ends on 12 Feb, and reviewing starts right afterwards.] Based on your inputs from the survey form (thanks to those who filled it in) and in consultation with the PC chairs, we are pleased to let you know that you have been assigned to the <AREA> area for reviewing papers for ACL 2017. We have two things to share with you that we need your immediate action on, as they will both help us assign optimal papers to you that match your expertise and interest. Without your input, we will assume you are qualified to review any submission in any topic. In other words, your assignment will be random. Hence, to avoid being assigned submissions way outside your topics of expertise, it is ESSENTIAL to do both steps below. 1. BIDDING: Please login to your START account for ACL 2017, and go to the committee page for the conference. Areas are divided into two portals, one for long papers and one for short papers. The long and short portals exist at different Web addresses, so be sure to fill in bids for both. Long Papers - https://www.softconf.com/acl2017/papers Short Papers - https://www.softconf.com/acl2017/shortpapers You will see a link to a form which lets you enter your reviewing preferences (which we call "bids"). The actual assignments will be chosen by us, the area chairs, based on your preferences and scores from the Toronto Paper Matching System (TPMS). You will probably receive many of your preferences, although not all of them. In filling out the form, please carefully identify all conflicts-of-interest with authors - e.g., written by former students, or colleagues at your current or former institution. You will not receive any of these submissions for review. COIs with domains that you have identified in the survey will be propagated in soon, but are not reflected in the bidding form. However, do not be afraid to select submissions which fall slightly outside your field of specialisation - but which you are still competent to review. You will get some of these assignments anyway, so you may as well receive the ones you want to review. 2. TPMS: As you know, we are piloting the use of the Toronto Paper Matching System this year to further capture your expertise to enhance the quality of our paper assignments. Now we need you to verify that your TPMS profile is active and uses the same address as your address on file with START (i.e., <REVIEWERS EMAIL ADDRESS>), and has been populated with relevant prior work that you've authored or are interested in. http://torontopapermatching.org/webapp/profileBrowser/login/ Please note that TPMS has been recently updated in Dec 2016 - Jan 2017 due to significant hardware failure.
