Sponsorship and Financial Responsibility for SIG Workshops
Conference Handbook - Policies on SIG Workshops
Upon request, the ACL will sponsor SIG Workshops and, upon request, also take financial responsibility for such workshops, noting that:
Financial Policies
- Workshops proposals must include a specific statement, with written confirmation from the Sig chair, if a Sig is sponsoring and financially underwriting a workshop. This impacts whether the Sig is putting its shadow account in support of a loss, and thus whether the Sig should share in the profits.
- If the SIG's shadow account contains enough funds to adequately cover the workshop, it is assumed that the SIG will do so and that all surpluses or losses will be returned to the fund.
- If the SIG's shadow account does not contain enough funds for the initial expense of the workshop, the ACL will lend the SIG an amount (generally US$2000). It is expected that this money will be returned to the ACL.
- The workshop budget must be approved by the ACL Vice President in conjunction with the ACL Treasurer.
- Any surplus or losses incurred by the SIG (after repayment of the initial loan) will be credited or debited to the SIG's shadow account. This account is controlled by the SIG, but expenditures from the account must be approved by the Vice President of the ACL. Official signature authority for the account remains with the ACL.
- In the case a workshop is financially sponsored jointly by ACL and another organization, then any losses will be borne equally by ACL and the other organization, and any surplus will be shared equally by ACL and the other organization. ACL's rules with regard to the shadow account will then apply to 50% of the surplus.
- If a SIG workshop is held in conjunction with an ACL conference, then the workshop will be fully financially sponsored by the ACL. In such cases, workshop budgets must be developed in conjunction with the conference committee. Registration fees will be set by the ACL.
Registration Policies
- ACL membership is required as part of the workshop registration. In the case a workshop is financially sponsored jointly by ACL and another organization, then attendees should be members of one or the other organization.
- If a SIG workshop is held in conjunction with an ACL conference, there will be two registration fees: one for workshop participants who are also registering for the ACL conference, and a different fee for workshop participants who will not be registering for the conference. The latter fee will be the sum of the workshop fee for conference participants, the ACL membership fee, and half the conference registration fee.
Other Policies
- The Call for Papers and the workshop proceedings must advertise the workshop as a Sig-X workshop, where X is the specific Sig with which the workshop is associated.
