We started our work by carefully reading the GitHub repository created for ACL 2018 ([1]). Then we contacted local chairs, publication chairs, tutorial chairs, workshop chairs, SRW chairs and demo chairs to obtain all the needed material. We also contacted all the sponsors to ask for their ad pages. Not all the sponsors answered our emails but, at the end, we were able to collect 24 ad pages. We initially blocked some time off to work on the handbook from June 20 to July 3, but due to a number of delays most of the work was done after June 26. The deadline for delivering the handbook to the printing company was initially set to July 3: we postponed the deadline to July 15.
The final production timeline is as follows:
- 11/06: ping local chairs about information on meals, welcome reception, social event, local guide
- 18/06: information about meals, welcome reception, social event and local guide received
- 21/06: ping publication chairs, tutorial chairs, workshop chairs, SRW chairs, demo chairs about needed materials
- 24/06: workshop, tutorial, demo session materials received
- 25/06: frontpage picture by Maria Cristina Schiavone from mci-group received
- 27/06: ping sponsors about their ad pages in high resolution
- 03/07: main conference program (i.e., order files) received
- 15/07: final handbook ready for printing and printing starts
- 27/07: Handbook delivered to Fortezza da Basso
