Tasks undertaken
Here is a list of all the tasks undertaken by the Local Chair and the local committee to date
- Provide a detailed budget for local costs
- Book venues for tutorials, main conference, and workshops
- Book venue for the extra day of the BioNLP workshop
- Together with the PCO, make the necessary preparations for the contractual arrangements between ACL and the hotels for the conference.
- Coordinate local sponsorship acquisition
- Together with the PCO, design, set up and maintain the conference website
- Make the necessary arrangements for the meetings of the ACL exec, the exec++ dinner, and the post-conference breakfast
- Handle all the invitation letter requirements for visa processing
- Together with the PCO, make arrangements for the social event of the conference which is a cruise on the Spree River
- Liaise with the workshops chairs in order for all the special requirements of workshop organizers to be met (extra poster boards, receptions, lunches, etc., especially, for the Google organised workshops)
- Liaise with the representatives of the sponsors for the preparation of the exhibition stands
- In cooperation with Priscilla Rasmussen (business manager), Antal van den Bosch (ACL 2016 General Chair) and the PCO, organise ACL-2016 Recruitment Lunch, an event which is featured for the first time in ACL’s conference history
- Maintain the presence of ACL 2016 on Facebook and Twitter in cooperation with Barbara Plank (Publicity Chair)
- Liaise with the event promotion departments of Google, Amazon and Facebook to support them for the organisation of private satellite social events
- Together with the PCO, design and order the conference bags
Ongoing work
- Make final arrangements for reception and catering. Specifically, make final decisions of where the catering tables will stand
- Allocate meeting rooms, poster boards for all conference sessions, workshops, tutorials
- Final security meeting in the first week of August
- Collect all materials for conference bags (sponsorship materials, local maps, etc.): deadline is the 1st of August 2016
